Vendor Application Form

Event Date: July 1, 2025

Event Location: Millenium Park, Peterborough

Event Time: 9 a.m. to 7 p.m.

  • Set-up: 9 a.m. to 12 p.m.
  • Event Duration: 12 p.m. to 6 p.m.
  • Tear-down: 6 p.m. to 7 p.m.

Applications must be submitted by:  Friday, May 30, 2025 at 4 p.m. (EDT)

Please note: This form is for artisan and homemade product vendors only. Food and beverage vendor applications can be submitted online.

All applicants will be notified of their application status by Monday, June 9, 2025.

Booth 

  • You will be provided with a space large enough for a 10 x 10 tent.
  • You will required to bring your own 10 x 10 text, table and chairs.
  • No power will be provided.

Application Fee

  • An application fee of $25.00 will be required, only if your application is accepted. 
  • Payment instructions will be provided once you are notified of your acceptance.
  • Your vendor spot will not be confirmed until payment is received.

Insurance

You will need to provide insurance to be a vendor at this event. There are two options:

Option 1: You can provide an updated Certificate of Insurance that includes coverage for the event and must be submitted a minimum of 10 days prior to the event. Please ensure that the following is included on your certificate:

  1. General liability insurance in an amount no less than 5 million dollars
  2. The Corporation of the City of Peterborough must be added as the Certificate Holder as well as an ‘Additional Insured’
  3. Providing 10 days’ notice of cancellation to: 500 George Street N. Peterborough On K9H 3R9.
  4. A description of your event including date, location and type of use is required to be evidenced under the description of operations section. This section should include the types of items for sale.

Here is the information needed for the certificate:

  • Name and address of the insurance broker providing the Certificate of Insurance
  • Policy Number
  • Term of Policy
  • Type of Policy: General Liability Policy
  • Limit of Policy: $2 or $5 million per occurrence (to be determined by the City of Peterborough)
  • Name Insured (the 'Named Insured' on the certificate must be the same as the organization or the individual that is listed on the Facility Agreement)
  • Address of Insured
  • Corporation of the City of Peterborough is added as an 'Additional Insured'
  • Specific description and location of event, and the specific activity of the named insured for which the certificate is issued (i.e. festival or event and specific operation or activity taking place, such as carnival rides, bouncy castle, fireworks display, animals, etc.)
  • Dates and times of Event (include set up and take down dates)
  • Signature of insurance provider or broker (certificates are signed)
  • 10 days notice of cancellation must be provided on the certificate listing: The Corporation of the City of Peterborough, 500 George Street North, Peterborough, Ontario, K9H 3R9
  • A cross liability or severability of interest cause
  • Insurers must be licensed to transact business in Ontario

Option 2: You can apply for Instant Risk Insurance Coverage. Visit the Instant Risk online portal at: https://peterborough.instantriskcoverage.com/login. Use FA-0701 when filling out the information on the instant risk application. Please ensure that the Named Insured on the Instant Risk Application is the legal name of the incorporated business or not for profit organization. If your business is not an incorporated business/organization, your legal name would be the Named Insured.

A copy of your Certificate of Insurance will be automatically emailed to the City when your payment is complete. Here is a link to Instant Risk - https://peterborough.instantriskcoverage.com/login.

Notice of Collection of Personal Information
